I am extremely frustrated with the billing practices at this office and am concerned that other patients may give up in similar situations, allowing the office to collect payment from both insurance and patients for the same visit. After an in-network visit on September 9, 2025, I paid my required copay for a covered service. About two weeks later, my credit card was automatically charged the remaining balance for the visit. When I called to question this, I was told my insurance had been processed incorrectly and that the charge would be refunded once the claim was reprocessed. My insurance later issued a finalized Explanation of Benefits, confirming that the visit was covered and that I did not owe anything beyond the copay I had already paid. Despite this, the office never refunded the amount charged to my credit card. It has now been almost 90 days since the EOB was issued. I have called the billing department every few weeks and am repeatedly told that the issue is with their "research department," which will contact me, but no one ever follows up. Most recently, when I asked to conference in a representative from my insurance company to help resolve why a refund has not been issued after insurance payment, I was told they could not speak to my insurance. I was then transferred to another department and left on hold for over an hour and a half with no resolution. Because of these prolonged delays and lack of accountability, I am now outside my credit card's dispute window and have spent an unreasonable amount of time trying to recover money that should have been refunded months ago. I am concerned that other patients may give up in similar situations, allowing the office to collect payment from both insurance and patients for the same visit. I hope this office improves its billing transparency and responsiveness, as this experience has been extremely time-consuming and stressful.
